Before you start

  • Your client list as a CSV file, if you are moving from another tool.
  • The notes your team should keep about regular clients.

Step 1: Open your client list

Everyone who booked with you, or your team added, is on one list.

  1. In a wide window, select Clients in the sidebar. On a phone, Clients is in the bar at the bottom.

  2. Search by name, e-mail or phone, or filter by last visit, upcoming booking, number of bookings or label.

Done when: the list shows the clients you are looking for.

Step 2: Add a client

Clients who book online are added on their own; add the others yourself.

  1. Select Add client.

  2. Enter the name and an e-mail or a phone. A note is optional, and only your team sees it.

  3. Select Save client. If that client is already on your list (same e-mail, or same phone when there is no e-mail), SkedEz opens them instead.

Done when: the new client’s page opens.

Step 3: Import your list

A CSV file brings your clients in.

  1. Select Import CSV. On an empty list it is a button; once you have clients, it is in the … menu above the list.

  2. Use a header row; columns are matched by header name, not order. Each client needs a name and an e-mail or phone, up to 1,000 a file.

  3. The preview saves nothing. Clients already listed are skipped, never overwritten; an e-mail with a SkedEz account is linked, and that person is told.

Done when: the import reports the clients added.

Step 4: Read a client’s profile

A client’s page shows their visits, appointments and notes.

  1. Open a client: Overview, Appointments and Notes sit in tabs.

  2. The strip at the top counts visits and no-shows. Spend shows once the client has spent something, to the owner, admins and anyone allowed to see the numbers.

  3. Edit contact changes the details your business keeps. A client with their own SkedEz account keeps their details there.

Done when: you know when the client last came and what is booked next.

Step 5: Keep notes and labels

Notes, labels and the birthday are private to your team; the client never sees them.

  1. In Notes, select Add note. Pin a note to keep it first, or set an alert so your team sees it when booking this client.

  2. Select Add labels and birthday for labels such as VIP and a birthday; once set, the button reads Edit labels and birthday.

Done when: the note and the labels show on the client’s page.

Step 6: Book the client again

Book from the client’s page without searching for them again.

  1. Select Book appointment on the profile, or in the … menu of the list: the client is already chosen.

  2. On a past appointment, Book again repeats its service and team member.

Done when: the new appointment form opens with the client filled in.

Step 7: Export your list

The export takes the list exactly as filtered and searched.

  1. Open the … menu above the list and select Export as CSV.

  2. The file holds name, e-mail, phone, bookings, last visit and next booking. Labels and notes are not included.

Done when: the CSV file downloads.

If something looks different

  • Add client or Import CSV is missing.

    Likely cause
Your access does not include adding clients, or it shows only your own clients.
    What to do
Ask the owner or an admin to change your access.
  • The same person is on the list twice.

    Likely cause
Records with different e-mails or phones stay separate, and the app has no merge.
    What to do
Keep booking on the record you use most.
  • The import skipped some rows.

    Likely cause
Those rows had no name, no e-mail or phone, repeated another row, or the client was already on your list.
    What to do
Fix the rows the preview marks and import the file again; nobody is added twice.

FAQ

Client questions

Is there a limit to how many clients I keep?

No. There is no client limit on any plan, and import and export work on every plan.

Can I see everything a client booked before?

Yes. The Appointments tab lists every appointment, with filters for upcoming, past, canceled and no-shows.

What happens to clients you no longer see?

Their records stay on your list with their booking history; the app has no delete or merge for clients. A client with a SkedEz account can delete it or download their data from it.
