Before you start

  • The name and e-mail address of each person you add.
  • Your services and opening hours, set up first.

Step 1: Open your team

Your team list shows who works with you and how many seats are in use.

  1. In a wide window, select Team members in the sidebar. On a phone or a narrow window, open Account first.

  2. The line beside the buttons counts active people and pending invitations against your seats.

  3. Select Add team member.

Done when: the New team member form opens.

Step 2: Enter who they are

Their e-mail address is how they sign in.

  1. Under Access, choose Staff for their own appointments and clients, or Front desk for everyone’s.

  2. Fill in Team member name and Team member email.

  3. Add a description and a photo if you like.

Done when: the name and the e-mail address are filled in.

Step 3: Choose their services

Clients can book a person only for the services that person offers.

  1. Open the Services tab and select Add services.

  2. You can also add people from each service’s own page.

Done when: the Services tab counts their services.

Step 4: Set their hours

A team member works your business hours unless you give them their own.

  1. Open the Working hours tab: it reads Using business hours.

  2. Turn on Has specific working hours and set their days. Their hours must stay within your business hours.

  3. Select Copy Monday to all open days to repeat their first open day on their other open days.

Done when: each of their working days shows its hours.

Step 5: Add them

Saving adds the person and sends them an e-mail.

  1. Select Add team member at the bottom of the form.

  2. A new address gets an e-mail to set a password and joins at first sign-in. An address that already has a SkedEz account gets an invitation to accept within 30 days: Accept is in the business switcher at the bottom of the sidebar, or under Account on a phone.

Done when: they appear in your list, or under Pending invitations.

Heads-up

A pending invitation holds a seat until it is accepted, withdrawn or expires.

Step 6: Change their access later

A person’s own page holds what they are allowed to do.

  1. Open the person from the list, then the Role and permissions tab.

  2. Choose Staff, Front desk or Custom, or make them Admin: an admin runs the team, services, settings and billing.

  3. Select Save access, then Change access to confirm.

  4. Only the owner can transfer ownership, and no one can deactivate or remove the owner.

Done when: their page shows the new access.

Step 7: Deactivate or remove someone

Either one frees a seat; removing also decides what happens to their appointments.

  1. In the list, open the person’s … menu. Deactivate hides them from booking and keeps their services.

  2. Or select Remove from team, then Keep the appointments, Move them to another team member or Cancel the appointments for their upcoming appointments. With the last, their clients are told.

Done when: the seat line shows one seat fewer in use.

FAQ

Team questions

Does the owner use a seat?

Yes. Seats count you, every active person and every pending invitation.

Can a team member see every appointment?

Front desk and Admin see every appointment, and a Custom set of permissions can include it. Staff see their own appointments and clients.

What happens to bookings when I deactivate someone?

They stay in the calendar, and clients can no longer book that person. Remove the person instead to move or cancel their upcoming appointments.
